Who we are
Lettance is run by Galleon Labs, the data controller for the personal data described here. Contact us at gm@galleonlabs.io.
What we collect and why
Your email address, to sign you in and to send reminders and the weekly summary you can turn off. Lawful basis: contract.
Property and tenancy details you enter (address, dates, rent, deposit, tenants' names) and documents you upload, to work out which rules apply and keep your evidence record. Lawful basis: contract.
Repair reports your tenants send through your link (their name, contact details if they give them, and the description), so the landlord can respond and keep a record. An AI model reads the description to suggest how urgent it is. Lawful basis: legitimate interests of the landlord and tenant in getting repairs done and recorded. Tenants can ask us for a copy or deletion of their report at the address above.
Questions you ask the assistant, to answer them. We do not store the conversation. Lawful basis: contract.
Postcodes entered into the free address check are used to look up public data and are not linked to you.
Who processes it for us
Vercel (hosting, file storage in London, and the AI gateway), Neon (database, London region) and Resend (email). Documents and questions you send are processed by open-weight AI models through Vercel's AI gateway; those model providers may process data outside the UK under contracts that restrict its use to providing the service.
We use public data from postcodes.io, planning.data.gov.uk, the Energy Performance Certificate register and council websites. We do not sell personal data or use it for advertising.
How long we keep it
We keep your account data while you have an account. Evidence records and documents are kept until you delete the property or your account, because their value is as a complete, dated record. You can delete a property or your whole account from Settings at any time; deleted records cannot be recovered.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to processing or ask us to restrict it. Email gm@galleonlabs.io. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.
